How much does a booking system cost?
The question is not only what it costs, but what you pay per booking.
A booking system in your own website starts at approximately €950 for a simple agenda with confirmation email. With payments, multiple employees or locations and link to your agenda, it is between €2,950 and €8,000. You pay once instead of commission per booking, which changes the calculation, especially when it comes to volume.

WHAT DETERMINES THE PRICE
What determines the price
The booking screen itself is the easy part. The price is reflected in the rules surrounding it: how far in advance can someone cancel, what happens in the event of a no-show, how much time is between two appointments, and which employee is allowed to perform which service.
Payments are the second factor. Paying in advance significantly reduces no-shows, but requires agreements on reimbursement and cancellation: and therefore construction work.
- Number of agendas — one employee or a team with their own schedules.
- Services with their own duration — a haircut and a colour treatment are not the same.
- Buffer time — preparation and clean-up between appointments.
- Payment in advance — reduces no-shows, asks for cancellation rules.
- Agenda link — prevents double bookings.
- Memories — the cheapest measure against no-shows.
WHAT YOU SHOULD PAY ATTENTION TO
The calculation versus a platform
Booking platforms charge commission per booking or a monthly amount per employee. That's attractive at low volumes and becomes expensive as you grow: exactly when you can afford it, but also when it costs the most.
Calculate your annual payment and compare it to a one-off construction price. With a few hundred bookings per month, your own system usually pays for itself within a year. On the other hand, a platform also gives you visibility, and that is a real advantage that you should take into account.
- Calculate your annual commission — number of bookings times payment times twelve.
- Contrast that with the construction price — often recouped within a year.
- Consider visibility — a platform also brings new customers.
- Who owns the customer data — rarely you on a platform.
- Both are also possible — own system for returning customers, platform for new ones.
FREQUENTLY ASKED QUESTIONS
More about the costs of a booking system
Can I continue to use my existing calendar?
Usually yes. A link with your calendar prevents double bookings and ensures that private appointments block availability without customers seeing why.
What happens in the event of a no-show?
That's up to you: a reminder email and text message significantly reduce no-shows, and a down payment reduces them further. We build the rules that suit your practice; there is no standard answer that is correct for both a hairdresser and a consultant.
Should I cancel the platform I am currently using?
Not necessarily. Some customers use a platform for new customers and their own system for returning customers, where the commission carries the most weight. That is often the wisest middle ground.
Is payment included?
That is possible, with a payment provider of your choice. The transaction costs then run directly between you and that provider; We do not charge a surcharge on this.
